Vines for Vision — Team Guide (Private)

1. Inviting Guests

Invitations will be sent via an "evite" style invitation on Paperless Post by Julie: Screenshot of the invitation
Julie is compiling invitees’ names and email addresses on google sheets here: Invitee List

The Paperless Post invitation will not handle RSVPs as "evites" normally do but instead there is a large "Purchase Tickets" button which acts as the RSVP (no way for someone to decline - let me know if this is a problem) . The invitation includes:

• An attractive formal invitation

• A Purchase Tickets link: Vines for Vision tickets on Eventbrite

• A Visit Website link for more details: www.vinesforvision.com

• A Donate to ESI link to support the cause: https://www.paypal.com/donate/?hosted_button_id=LQ58RCVLMFR3Q

• Admin shows which invitees have opened/viewed invitation

• Invitations can be sent via text if email address is unavailable

2. Event Website

• Link to Auction Page (Auction Page coming soon - Sean to build)

• Donate to ESI button

• Sponsor Packet download link & Sponsor Commitment form link (these are at the bottom of the event site)

• Auction Item Packet download link & Donation form link (these are at the bottom of the event site)

3. Purchase Tickets

Ticket purchases are handled through Eventbrite: Vines for Vision tickets on Eventbrite

• Checkout contains required question for guests regarding special meal requests (allergies, vegetarian, etc)

• Sean, Cara and Julie have access to Eventbrite admin for ticket purchase tracking

• Ticket purchaser receives confirmation email

4. Send Sponsor Packet

When contacting potential sponsors:

1. A letter to prospective sponsors is available in two formats. Either Copy/paste the Sponsor Letter (word doc) into the body of your email OR attach the Sponsor Letter PDF

2. Attach the: Sponsor Packet PDF.

3. Send link to Online Sponsor Commitment Form: https://www.jotform.com/build/252246349929064

The Sponsor Packet contains:

• Sponsor levels and benefits

• General Sponsor info

• QR code to Online Sponsor Commitment Form

• Contact Info

• Payment Info

• Program Acknowledgement size info

5. Donating an Auction Item

When contacting potential donors:

1. A letter to prospective donors is available in two formats. Either Copy/paste the Donor Letter (word doc) into the body of your email OR attach Donor Letter (PDF).
